Template notice: have a lawyer review this policy (GDPR/UK GDPR, CCPA and other laws that apply to you) before launch and keep it accurate as the product changes.

1. Summary

We collect as little as we can. The desktop app keeps your transcripts, settings and API keys on your computer. This website stores only what is needed to sell and license the software.

2. What we collect on the website

  • Account and license data: your email address, license key, plan, subscription status and renewal date.
  • Device data for licensing: a random per-install identifier and the device name you allow the app to send, plus the time it last checked in. Used only to enforce the device limit.
  • Payment data: handled by our payment processor (Razorpay). We receive your email, subscription identifiers and payment status — never your full card number or UPI PIN.
  • Technical data: IP address and request logs for security, abuse prevention and rate limiting.
  • Cookies: one strictly necessary session cookie when you sign in or submit forms. No advertising or analytics cookies are set by this site.

3. What the desktop app does with your content

  • Speech recognition: the app uses Windows dictation. Depending on your Windows settings, audio may be processed by Microsoft’s online speech service under Microsoft’s privacy terms. We do not receive your audio.
  • AI replies: text you dictate or type is sent to the AI provider you select (for example OpenAI, using your own API key). With the built-in local model or Ollama, the text is processed on your computer and is not sent to us or to a cloud provider.
  • Local storage: settings, your API key (encrypted with Windows user-level protection), session history and exports are stored on your device. We cannot access them.
  • We do not receive your transcripts, prompts, screenshots or AI replies.

4. How we use data

To deliver the Service: issue and verify licenses, send your license key and sign-in emails, process subscriptions, provide support, prevent fraud and abuse, and meet legal obligations.

5. Sharing

We share data only with service providers needed to run the Service — Razorpay (payments), our email delivery provider and our hosting provider — and when required by law. We do not sell your personal data.

6. Retention

License and account records are kept while your subscription is active and for a reasonable period afterwards for accounting, tax and dispute purposes. Sign-in tokens expire after 15 minutes. Server logs are kept for a limited time.

7. Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal data, and to object to or restrict processing. Email support@acethescreen.com and we will respond within the time required by law.

8. Security

We use HTTPS, signed license responses, rate limiting and access controls. No system is perfectly secure; please protect your license key and API keys.

9. Children

The Service is not directed to children under 16, and we do not knowingly collect their data.

10. Changes

We will update this page when our practices change and revise the date above.
